Data privacy for current volunteers

We are serious about looking after any personal information you may share with us during your time volunteering with Willen Hospice. We collect information for several purposes, including the management of our volunteer recruitment processes, the maintenance of accurate volunteer records, the effective management of our workforce, to ensure compliance with your statutory rights, to ensure adherence to Willen Hospice’s rules, policies and procedures, to ensure effective volunteer management and business administration and to enable us to comply with our legal obligations and regulatory requirements.

Various categories of personal information may be collected from you whilst you are a volunteer including name and contact details, emergency contact details, bank details; training and professional membership details; volunteer hours given; details of any misconduct, complaints or performance records that apply, photographs and details of termination of volunteer engagement. We may also collect information about your health and any disability in order to ensure appropriate health and safety whilst volunteering and to promote equality of opportunity for disabled volunteers. We may collect information about criminal convictions and offences where DBS checks apply to your role. We also retain personal information gathered during the volunteer recruitment process, such as the contents of any CV or application form, interview notes and professional qualifications. We will only collect personal information where it is lawful for us to do so.

We may share your information with selected third parties, such as professional registration bodies, external IT services, auditors, trainers, professional advisors and, where the role requires it, the DBS and the DVLA. We may also share information with certain third parties if we are compelled to do so by law.

All personal information you provide is held in accordance with current data protection laws. You have certain rights over the processing of your personal data, such as the right to ask what details we are holding about you, and the right to ask us to correct any information that you find is wrong.

Our systems are secure and regularly reviewed, and our staff are trained in their use.
